Terms and condiitons

1. Preambule

These Terms and Conditions govern all relations between :

  • Swarga Odyssey©, represented by PT Harmony Horizon Group, registered with the Indonesian company registry under number (NIB) 2901240080126, as a travel agency (activity classification No. 79121), with its headquarters located at Jalan Mertanadi No. 86E, Kelurahan Kerobokan Kelod, Kecamatan Kuta Utara, Kabupaten Badung, Bali, 80363. (hereinafter referred to as the "Seller"), and

(hereinafter referred to as the "Client" or "You"),

Before completing any transaction, the Client acknowledges having read these terms and expressly agrees to them by clicking on the "Confirm and Pay" button.

2. Capacity

The Client confirms that they have the legal capacity to enter into a contract under the terms presented below, meaning they are of legal age and not under guardianship or any legal protection.

3. insurance

No insurance is included in our travel packages, and we strongly recommend purchasing additional travel insurance.

While certain bank cards, auto, and home insurance policies may include health/repatriation coverage abroad, these often do not provide adequate or comprehensive protection.

We advise checking the coverage and conditions of your existing policies first (and consider paying for your flight tickets with a credit card to ensure coverage). If you choose to purchase travel insurance, we recommend Chapka Assurances, a partner we work with regularly, which offers coverage for cancellations.

Please note : Insurance policies in Indonesia, particularly auto insurance, may not include the same range of protections as those in Europe, especially in terms of liability and personal injury. We cannot be held responsible for these differences.

Additionally, some activities considered dangerous by insurers may not be covered under standard policies. It is your responsibility to ensure you are fully covered in all circumstances. We recommend reviewing your insurance contracts carefully to avoid purchasing redundant coverage.

4. Liability

4.1 Damage and theft

We disclaim all liability for any theft or damage to personal belongings during your stay or tour, as these remain under your responsibility or should be secured (e.g., in hotel safes).

4.2 Local autorities

Swarga Odyssey© disclaims all responsibility in case of issues with local authorities, police, or customs due to your non-compliance with regulations (see the practical information section) or issues related to the possession or use of prohibited substances (e.g., drugs).

4.3 Entrence into the territory

Swarga Odyssey© disclaims all responsibility in case of refusal of entry into Indonesian territory by customs and immigration services.

Please note that our trips do not include visa costs. The visa on arrival (VOA) for tourists, valid for 30 days and renewable for another 30 days, must be paid directly at the airport (or online). The cost is 500,000 IDR (about 35 euros) payable in cash or by credit card in the currency of your choice.

Each traveler is responsible for ensuring their passport is valid: Passports must be valid for at least six months from the date of entry into Indonesia, with sufficient blank pages for entry and exit stamps. Please also ensure your passport is in good condition (no torn pages or damaged covers).

4.4 Excursions et on-site activities

We cannot be held responsible or liable for any compensation in the event of changes to planned dates, times, or itineraries, especially if these changes are due to unforeseen circumstances or force majeure (e.g., road closures, weather or geological conditions, political incidents, legislative changes). However, we commit to finding the best possible solution to reschedule the excursion or activity, or to propose a satisfactory alternative. Furthermore, confirming your return flights remains your responsibility.

5. Services

5.1 Duration of the trip

Our responsibility begins when you arrive in Indonesia; the flight to Indonesia remains your responsibility. However, we offer an optional flight search service, based on a travel planner service.The trip duration is calculated in nights and does not include travel time from your home country.

5.2 Prices and currency

Prices are determined per person, based on the duration of the stay or tour, the number of participants, the range of services, and the chosen activities. All our services are quoted in your currency (Euros, CHF, USD, etc.). Currency fluctuations may affect the overall price. In the case of significant Rupiah/USD or Rupiah/Euro fluctuations between the acceptance of the quote and the start of the tour, a proportional adjustment may be applied.

Our prices include: airport transfers, all hotel nights with breakfast or villa rentals, reservation fees, and for tours: air-conditioned car rental with insurance and fuel, guide and/or driver fees (including their meals and accommodation), parking fees, all entrance fees to temples, sites, or museums, activities, show tickets, and any specified meals indicated as included in the final quote.

Not included: round-trip flights to Indonesia, the tourist visa, specific insurance policies you may wish to purchase, drinks and meals, activities not originally defined, and fees related to program changes initiated by you.

For specific stays, special conditions will be provided with your quote.

6. Booking and payment

6.1 Administration fees and assistance

We charge an administration fee of 10 euros per day per organized stay. These fees cover the creation and management of your trip by your advisor. They are non-refundable in case of cancellation.These fees also include a personalized assistance service in case of emergencies or unforeseen circumstances on-site.

6.2 Deposit and payment terms

A minimum deposit, previously agreed upon by both parties, ranging from 30% to 50% of the total trip cost, must be paid immediately or within a reasonable time after the quote is signed. This deposit covers the costs of planning and booking the trip.

The deposit must be made in Indonesian Rupiah via bank transfer to the company account, the details of which will be provided in due course.

The balance is due no later than 30 days before your arrival in Indonesia. If the balance is not paid by the agreed date, the client is considered to have canceled. In this case, the deposit will not be refunded. For bookings made less than 35 days before departure, the total trip cost must be paid at the time of booking.

Special situations

Any health conditions of the participants (e.g., disability, minority, guardianship) that could impact the trip must be disclosed before booking and included in the contract. Swarga Odyssey reserves the right to assess the possibility of booking.

7. Accomodations

Please note that Indonesian standards may not always match those recognized in Europe.

However, we have carefully selected the best hotels or guesthouses in their categories. To maintain a friendly and original atmosphere, we offer, whenever possible, accommodations with limited capacity.

In rare cases and for reasons beyond our control, changes to bookings may occur. In such cases, we commit to providing accommodations of equal or higher quality.

8. Cancellation

If you wish to cancel your stay, you must notify us by email at Swarga.odyssey@gmail.com.

No refunds will be made for any part of the stay interrupted or shortened at the participant’s discretion.

9. travel documents

Generally, travel documents are provided no later than the week before departure. Once delivered, the legal custody of these documents is the sole responsibility of the client.
